Sports Association

The Sacred Heart Sports Association is needing Volunteers to run the organization.  The Sports Association has grown over the past several years and we believe it is going to continue to grow in the future. With the recent move to the new league (CYC), expanding into our own facility for volleyball and basketball and the continued growth this organization will not continue to improve without your commitment.

The current Executive Board is asking every family to consider assisting the Association with one of the many tasks needed to make this a better organization for the kids.  Below is a break down of all the positions that we feel are needed to make this the best Sports Program in the District.

 

SACRED HEART SPORTS ASSOCIATIONEXECUTIVE BOARD POSITIONS

PRESIDENT

– Serves as the overall presiding administrator of the Sports Association and serve as a liaison between the pastor, the principal and the Sports Association

– Lead/facilitate all general meeting and board meeting; establishes the agenda for said meeting

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

– Ensures fiscal integrity by reviewing the monthly banking account activity

VICE-PRESIDENT

– Lead/Facilitate all general meetings and board meetings in the president’s absence

– Organize and supervise board elections

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

Attends all CYC monthly meetings or finds another board to attend the meeting in his/her place

– Administers monthly reports at the Home and School Meetings

SECRETARY

– Keeps a written record of all general and board meetings

– Handles all official written correspondence

– Maintain and publish any changes to the by-laws

– Create registration database and distribute to the Sport Coordinator

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

TREASURER

– Keep records of all income and expenditures for the association; ensure the financial stability of the Sports Association

– Provide a financial report for all general and board meetings

– Work directly with the Parish Secretary to ensure all deposits are made, all bills are paid, and the Sports Association financial record match that of the Parish

– Prepare, in conjunction with the other board members, an annual budget for the Sports Association

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

SPORTS COORDINATOR (Soccer, Volleyball, Basketball)

– Perform all administrative tasks for the sport

– Represent the Sports Association on the CYC District Committee for the sport

– Establish coaches and teams for the respective sport

– Secure practice and game facilities as appropriate for the sport and assign same to the respective teams in a fair and reasonable manner

– Provide for distribution and collection of all necessary equipment to the team

– Complete official rosters and all necessary paperwork needed for the CYC

– Secure Referees and Score Officials and create schedules to cover all games played (this may be appointed to a Referee Coordinator as approved by the Board)

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

ASSISTANT SPORTS COORDINATOR (Soccer, Volleyball, Basketball)

– Assist the Sports Coordinator in his/her duties as deemed necessary

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

COMMITTEES

UNIFORM COMMITEE

– Maintain an inventory of all sports uniforms

– Obtain a count and sizes of uniforms required for the present sports season.

– Coordinate the distribution of all sports uniforms and maintain a record of the uniform number of each participant

– Collect all uniforms at the end of the sports season. Forward record of damaged or unreturned uniforms to the Secretary.

– Recommend replacement of uniforms when necessary

– Assist in the purchase of replacement uniforms when necessary

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

COMPLIANCE COORDINATOR

– Work with Parish Spiritual Director, Sports Coordinators and Coaches to insure that all coaches have completed all the necessary course work and paper work. (Protecting God’s Children, Coaching Concepts, State Background checks and Code of Conduct) Fill out Coach/Roster Authorization forms, have forms signed by the Parish Spiritual Director, and forward to Sports Coordinator.

– Work with Sports Coordinator to insure that all players are eligible to play and acquire the necessary waivers from surrounding parishes as needed.

CONCESSION COORDINATOR

– Establish and schedule a Concession Committee to supervise the Concession Area.

– Maintain an inventory of product and order supplies on an as needed basis.

– Keep records of all income and expenditures for the Concession Area and provide a financial report to the Association Treasurer.

– Work with Association Treasurer to acquire change and to make weekly deposits.

– Obtain “Food Safe” Certification

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

CONCESSION COMMITTEE

– Work as the supervisor for the Concession Area.

– Concession Area Preparation and/or Cleanup

– Assist Field/Gym Committee in Opening and/or Closing the Facility

– Obtain “Food Safe” Certification

FIELD/GYM COORDINATOR

– Establish and schedule a Field/Gym Committee to supervise all home game related activities.

– Establish Schedule for Field/Gym Setup

– Read and understand CYC Sports Rules.

– Serves as an advisor to his/her successor in the first year of said successor’s term of office

FIELD/GYM COMMITTEE

– Work as the Supervisor for the Field/Gym Area

– Responsible Opening and/or Closing the Facility

– Report, in writing, any issues with Coaches, Players, Spectators, or Referees

PARENT WORK COORDINATOR

– Coordinate with Sports Coordinators and Team Managers to provide workers for designated work activities. i.e. CYC events, tournaments, field days.

– Obtain CYC and tournament game schedules and determine the number of shifts required to cover event needs.

– Schedule Parent Work Shift per event schedule and distribute to all coaches and parents.

– Place Schedule with sign-in sheet in the concession area. Pull the sign-in sheet after each weekend and forward record of families who did not work to the Secretary.

LOGO WEAR COORDINATOR

– Coordinate all aspects of the Logo Wear Program (ie. Promotion, Ordering, Distribution)

DEVELOPMENT COMMITTEE

– Works to increase the overall participation of parish members in the Sports Association.

– Coordinates all fund raising activities. Ensures these activities are fully staffed and provides maximum benefit to the Sports Association and the parish at large.

– Serves as an advisor to his/her successor in the first year of said successor’s term of office.
